The Administrative Assistant for Meetings prepares for and supports all meetings hosted at the Chicago Corporate Offices and Conference Center. In addition, this position supports the department’s administrative needs.

 

LOCATION: CHICAGO                                                           DEPARTMENT: LICENSURE ASSESSMENT SERVICES

Responsibilities:

·         Meeting support in response to direction from meeting planner(s), including but not limited to:

·         Sending meeting invitations and reminders, preparing meeting materials, reserving accommodations and catering, setting up and breaking down meeting space, providing information to committee members

·         Supporting the meeting as it takes place and covering the Conference Center reception desk (approximately 1-2 Saturdays per month)

·         Greet guests and make them feel welcome, Set up catered meals and clean up kitchen, Assist guests with travel arrangements occasionally

  • Back-up administrative support of Assessment Services department, including but not limited to: Filing, photocopying, faxing and mailing,
  • Meeting arrangements including agendas, facilities and recording 
  • Participating in office-wide and organization-wide administrative team responsibilities
  • Coordinating with administrative staff in PA office
  • Representing the NBOME to external stakeholders—including doctors, Deans, Board members, and vendors—in a professional manner
  • Qualifications:

·         Some college is preferred

·         3-5 years’ administrative support experience

·         Event/meeting planning experience strongly preferred

·         Intermediate proficiency with Microsoft Office suite including Word, Excel, PowerPoint, Visio.

·         Experience with Sharepoint preferred

·         Strong written and oral communication skills
